Using Workflows with Membership Courses

In the Automation tab of your Gym Lead Machine account, Workflows act as the powerhouse and communication hub of your system. Within Workflows, there are several 'trigger' actions (actions that take place to start a Workflow sequence in motion) that are related to Memberships. as well as two 'results' actions that relate to Memberships.


Options for Memberships as trigger actions

  1. Go to the Automation tab in the left menu of your account.
  2. Select the 'Create workflow' button in the upper right.
  3. Select 'Start from scratch.'
  4. Click on 'Add New Workflow Trigger.'


  5. In the trigger actions menu, scroll down to the section with the heading 'Membership.'


  6. The options listed in the Membership section are Membership-related actions that can trigger a Workflow sequence.

Options for Memberships as resulting actions

  1. Follow steps 1-3 above.
  2. Add the appropriate trigger action (i.e. adding a contact tag).
  3. Click on 'Add your first action'


  4. Scrolling down the action menu in the left sidebar, locate the portion of the list with the heading 'Membership Actions."


  5. Below this heading, you'll find the Membership-related actions that can take place in a workflow sequence.

Use cases for Membership triggers & actions in Workflows

Granting access to a Membership offer after adding a tag

  1. When a tag (like 'client') is added, you can grant access to an Offer.

    Pictured below is a sample Workflow where the trigger action is 'Contact Tag' -> 'Tag Added' -> select the proper tag. The resulting action is the 'Membership Grant Offer' action as shown.

  2. In a separate Workflow, you can have access to the Offer revoked when the tag is removed.
    1. The trigger action is 'Contact Tag' -> 'Tag Removed' -> select the proper tag. The resulting action to select is 'Membership Revoke Offer.'
  3. This Workflow setup is helpful if you want to add value for your current clients by granting them access to Membership courses.

Revoking offer access when a client cancels

Converse to the process above, Workflows can help you revoke access to Membership products when a client is updated to 'canceled' in Gym Lead Machine.

  1. Go to Automation and create a new workflow from scratch.
  2. The trigger action can be 'Contact Tag' -> 'Tag Added' -> select the tag 'fitness cancelled client.'

    You may opt to create a 2nd trigger action, also based on contact tag added, and select the tag 'nutrition cancelled client.'

  3. Add the first action and search for 'Membership Revoke Offer' in the left sidebar.
  4. Select the Offer that should be revoked upon cancellation.
  5. Add more actions for other Offers as needed.
  6. Save the actions as you work, then Publish and Save the workflow.

Contact leads when a Membership course is complete

  1. Create a new Workflow (see above) with the trigger action 'Product Completed.'
  2. The first action of the workflow can be either:
    1. 'Internal Alert' where the system will send you a notification of some kind (push notification from the app, email, or SMS) when the Product is complete so you can reach out to the lead.
    2. 'Send Email' or 'Send SMS' - either of which will reach out to the lead directly upon completion of the Product.
  3. This workflow is helpful if the Product is being used as a lead magnet in order to upsell users into more in-depth services (like a regular membership or personal training).
  4. You also have the option to reach out at certain points of the course by using the trigger actions 'Category Completed' or 'Lesson Completed' to prompt follow-up measures.
  5. If you want to ensure you only send follow-up messages to leads, rather than your regular clients, you can use an 'If/Else' action in the workflow to skip these actions for clients.
    1. Add the trigger action.
    2. Add a 'Wait' step as the first Workflow action (it does not have to be long, even 1 minute will do).
    3. Add the next action as 'If/Else' and in the Segments, select 'Contact details' -> 'Contact type,' 'Is Not,' 'Customer.'

    4. When you save the 'If/Else' action, a branch will appear below the Condition action in the Workflow.
      1. The blue 'Branch' line will be for contacts that match the condition you've just set (contacts who are not customers). You'll want to add your reach-out actions to this line of the Workflow.
      2. The red 'None' line will be for those who do not match the condition you've set (contacts that are customers). There is no need to add actions here. When they reach the checkered flag they will be removed from the workflow.
