The Sales Portal is how gyms using Kilo GMS sell packages online. Athletes and prospects browse your packages, choose a billing plan, create an account, and check out from any web browser. You control which packages appear, which billing plans are available, and what information the checkout collects.
This article covers enabling the Sales Portal, setting up packages for sale, and configuring your checkout.
What you can do with the Sales Portal
Sell packages and billing plans online through a public web page
Offer private billing plans with hidden URLs for special pricing, such as friends and family, referral rates, or staff discounts
Control which billing plans appear in the Sales Portal, the Kilo app, or both
Customize the checkout fields your buyers see and fill out
Let athletes buy for themselves or for someone else
See at a glance which packages are visible on your public portal, private portal, and in the Kilo app
Enable the Sales Portal
Log in to app.usekilo.com.
Select Sales Portal in the left-hand menu.
Select Edit, check Enable Sales Portal, then select Save.
Customize your Sales Portal settings, including the logo, description, and other branding details.
To disable the Sales Portal at any time, return to the Sales Portal menu, select Edit, and uncheck Enable Sales Portal.
Make a package available for sale
Packages and billing plans must be created in the Packages menu before you can offer them for sale.
Go to Packages.
Select the action button to the far right of the package, then choose Sales Portal Options.
Check the box to enable the package in the Sales Portal, the Kilo app, or both.
Open the Billing Plans drop down.
For each billing plan, choose whether it is Public, Private, or Disabled in the Sales Portal, and whether it appears in the Kilo app.
Every billing plan starts as Disabled. Nothing is purchasable until you set it to Public or Private, so a new Sales Portal with no packages showing is working as expected.
Public, private, and disabled billing plans
Setting | What it does |
|---|---|
Public | The billing plan appears on the main Sales Portal page. Anyone with the Sales Portal URL can purchase it. |
Private | The billing plan is hidden from the main Sales Portal page. You share the private billing plan URL directly with specific buyers. |
Disabled | The billing plan does not appear in the Sales Portal at all. This is the starting state for every billing plan. |
For example, you may have a Drop-In package with two billing plans: Standard at $25 and Friends & Family at $15. Set Standard to Public so anyone who lands on your Sales Portal sees the $25 option at checkout. Set Friends & Family to Private and share that billing plan's URL with the coaches' families. Others browsing the portal will not see the $15 option, but anyone with the direct URL can check out at that price.
See where each package is visible
On the package list, each package shows visibility badges for the Public Portal, Private Portal, and Kilo app. You can confirm at a glance which packages are being offered where, without copying and pasting URLs to check.
Choose what your checkout collects
Below the Billing Plans drop down in Sales Portal Options, the Checkout Flow menu determines which fields a buyer sees and has to complete.
First name, last name, email, and phone are the only fields required by default.
Activate additional fields by checking them in the Visible Field column.
Make any visible field optional or required using the Required Field column.
Share your Sales Portal URL with prospects and athletes so they can reach your purchasing options.
What your buyers experience at checkout
From the buyer's side, checkout runs in five steps. Most buyers coming through your Sales Portal URL are prospects who do not have a Kilo account yet.
Browse and choose a package
The buyer opens your Sales Portal URL and sees your available packages. They can search by package name, filter by package category such as CrossFit, Group Classes, or Personal Training, or view an overview of everything on offer.
View details and choose a billing plan
Selecting View Details opens the full package description, attendance rules, and every available billing plan, so the buyer has what they need to choose confidently. They select a billing plan and go straight to checkout. A Cancel button returns them to browsing at any point before checkout.
Create an account or log in
The buyer chooses whether they are buying For myself or For someone else.
New to Kilo: they choose Create an Account and enter their details.
Existing athlete: they choose Already Have an Account and log in.
Buying for someone else: they create either a linked profile, for a partner or adult family member with their own email address, or a dependent profile, for a child sharing the primary account's email address.
Complete the purchase
The buyer enters payment details or selects an existing payment method, confirms the payment information, and submits payment.
View packages and start booking
After checkout, the buyer selects See your Packages to reach their profile and view active packages. They sign any required Documents, then book from the Schedule tab.
Documents are the most common reason a new buyer cannot book straight after purchasing. If someone reports that booking is not working right after they paid, check whether they have unsigned documents waiting.
Athletes who already have an account can also browse and buy from the Explore section of the Kilo app when a billing plan is enabled for the app. For that walkthrough, see Buy a Package in the Kilo App.
Frequently asked questions
Why is the checkout button disabled when I view my Sales Portal?
The checkout button is disabled because you are viewing the Sales Portal while logged in as Admin or Staff in that browser. To see the buyer's view with the checkout button enabled, open your Sales Portal URL in an incognito or guest window.
What is the difference between a public and a private billing plan?
A public billing plan appears on your main Sales Portal page for anyone to see. A private billing plan is hidden from the main page and is only reachable by buyers who have the direct URL for that billing plan. Use private billing plans for discounted or special rates you want to offer to specific groups without making them visible to everyone.
How can I offer a discounted rate to a specific group of people?
Set up a private billing plan and share its direct URL with just that group. For example, create a Friends & Family billing plan at a discounted price, set it to Private, and send the URL only to the people you want to offer it to. Other visitors to your Sales Portal will not see the discounted option.
Where can I see whether a package is visible in the Sales Portal or the Kilo app?
Visibility badges appear next to each package on the package list, showing whether it is live on the Public Portal, Private Portal, or in the Kilo app. You do not need to copy and paste URLs to confirm a package is being offered where you expect.
Do buyers need a Kilo account before purchasing?
No. New buyers create an account as part of the checkout process. Existing athletes log in with their existing account.
Can athletes buy through the Kilo app instead of the Sales Portal URL?
Yes, when a billing plan is enabled for the Kilo app. Athletes browse and purchase from the Explore section. App visibility is set separately from Sales Portal visibility, so a billing plan can appear in one, both, or neither.
What happens when someone buys a package for another person?
They create a profile for that person during checkout. An adult with their own email address becomes a linked profile and can log in themselves. A child sharing the buyer's email address becomes a dependent profile and cannot log in separately. Both appear as connected profiles on the athlete records afterward.
Helpful tips
Test your Sales Portal in an incognito or guest window before sharing the URL. Logged-in staff see a disabled checkout button, which looks like a broken portal to anyone who does not know why.
Use private billing plans instead of manually applying discounts at checkout. They are cleaner for reporting and do not require staff involvement.
Keep the checkout form short. First name, last name, email, and phone are the defaults for a reason, and every additional required field is a chance for a prospect to abandon the purchase.
Use clear package category names so buyers filtering your portal find what they are looking for quickly.
Check the visibility badges after changing settings, rather than opening the portal to confirm.
