Review of GLM Scheduling & Availability

Scheduling in Gym Lead Machine can be visualized as a filter or inverted triangle. We start with broad availability—defined by the opening and closing hours of your gym in the calendar settings—and then narrow that down until the appropriate availability is displayed to leads.


Scheduling in GLM

Office Hours

Each calendar includes "Office Hours," which our team sets based on the opening and closing hours of your gym provided in the questionnaire. These represent the broadest range of hours during which appointments can be scheduled, as they reflect the gym's operational hours.

Individual User Availability

Availability for appointments is further refined when we assign specific users to a calendar, and those users set their availability in their profiles. The system understands that even if the gym is open on Tuesdays, if no assigned users are available on that day, there should be no Tuesday appointments open for leads to book.

Synced Appointments

Users in GLM have the option to sync their Outlook, iCal, or Google calendars. These synced calendars can further block availability based on "busy" events entered within them. For example, if Sales Rep John has open user availability on Wednesdays from 10 AM to 2 PM but has a "busy" event in his Google Calendar for a personal appointment from 1 PM to 2 PM, leads will only see availability from 10 AM to 1 PM. Additionally, other booked appointments within GLM will also close slots, along with synced events.

You are encouraged to set up your User Availability and synced calendars before or during your GLM onboarding call. If you have team members who will also be taking appointments in Kilo, ensure they do the same before your launch. Here are some helpful documents to share with them:
