đź’° Kilo Can Now Apply Late Cancel & No Show Fees!

Starting now, you’ll see a new option in your Kilo settings—fees for late cancellations and no-shows.

Rest assured, your existing settings remain unchanged: the same cancellation thresholds and credit deductions you’re used to are still in place.

What’s new is that you now have the flexibility to edit your Event types and sessions directly in your Kilo schedule calendar and apply fees for those last-minute cancellations or no-shows.


Here is what you'll notice when you log in to Kilo:

  1. Your existing thresholds for reservations and cancellations have been retained but have now been converted to minutes as part of this update. Feel free to adjust these units back to hours or days as needed, particularly when applying fees and/or credit deductions.
  2. The optional credit deduction is currently enabled, as Kilo has operated this way from the start—credits were deducted when Athletes made a reservation for an event but did not attend or cancel their reservation within the acceptable time window.
  3. In the "Reservations, Waitlist, and Cancellation Settings," you can now set the "Time before the start of a class/appointment in which late cancellation fees apply."  You will also see a new list of settings that allow you to "Auto-Charge Fee for No Shows." You may also enable a credit deduction alongside the fee if you choose.
  4. Additionally, in both Events and Sessions on the Schedule, the "Additional Settings" drop-down now includes these fee and credit deduction options as well.

Please note that as you edit your Settings, Event types and previously scheduled sessions do not update retroactively.

You'll need to edit your account Settings, Event types, and scheduled sessions to capture all of these changes.

We recommend completing these tasks if you choose to use the late cancellation and no-show fee feature:

  1. Apply fees and credit deductions to existing sessions:

    To apply fees and/or deductions immediately, open a future session on the Schedule and click "Edit." In the Additional Settings section, adjust the fees and deductions to align with your policies, then click "Save."

    1. For single sessions, choose "Edit this day only."
    2. For recurring events, you'll need to complete two actions: "Edit this day only" and "Edit all future events."
  2. Update your account settings:

    After applying changes to the existing sessions on your Schedule, navigate to your Account settings. Adjust the Reservation, Waitlist, and Cancellation settings for Classes and Appointments as needed, then save. This ensures any new Events you add moving forward will automatically carry the updated settings.

  3. Adjust settings for each Event type:

    Finally, go to Events (Classes and Appointments) and update the "Additional Settings" for each event type. This ensures that all future sessions on your Schedule will use the correct fee and deduction settings.
