Adding Appointment & Class Events in Kilo

In Kilo, you can schedule two types of events: Classes and Appointments.

  • Classes are events that will display on the public/member-facing calendar and Athletes will be able to self-book for sessions according to their credit allowances.
  • Appointments are internally booked sessions on the Kilo calendar to which Staff add one or more athletes.

Typically, these differentiate things like Group Fitness and CrossFit (Classes) from Private and Semi-Private Training (Appointments).

Access the Events Section

  1. Log in to your Kilo dashboard.
  2. From the left-hand menu, click on Events.
  3. Choose between Class or Appointment based on the event you want to add.

Adding a Class Event

When you create a class event, members can register themselves through the athlete side of the Kilo app.

  1. Select Class from the navigation menu
  2. Click "+ Class Type" in the upper right

  3. Enter the Class Name - Provide a descriptive name for the class (e.g., "CrossFit").
  4. Select a Color - Choose a color that will represent this class on the calendar.

  5. Choose the Location

    If your gym has multiple locations, select the relevant one. If your gym operates in a single location, you can leave this blank or select your main gym floor.

  6. Set Class Capacity
    1. Determine how many athletes can register for the class. For example, 12 or 15 participants.
    2. If applicable, enable a Waitlist option for overflow registrations.
  7. Define Class Duration

    Choose the length of the class (e.g., 30 minutes, 45 minutes, 60 minutes).

  8. Enter an optional description of the Class

  9. Additional Settings

    You can override the general settings for reservation and cancellation windows, as well as waitlist capacity. For example, if your account-level setting allows for five athletes on the waitlist, but this specific class has limited space, you can reduce the waitlist to three.

  10. Review and Save

Adding an Appointment Event

Unlike classes, appointments are one-on-one or small group sessions (e.g., personal training, semi-private training). When you add an appointment, you will assign an athlete to the appointment directly through the calendar.

  1. Select Appointment from the navigation menu
  2. Click "+ Appointment Type" in the upper right
  3. Enter the Appointment Name - Provide a descriptive name for the appointment (e.g., "Personal Training (60)").
    1. Note that you will create separate appointment types for different durations of the same style of training. So you may need Personal Training (30) and Personal Training (60) to represent the available options in terms of duration.
  4. Select a Color - Choose a color that will represent this class on the calendar.

  5. Choose the Location

    If your gym has multiple locations, select the relevant one. If your gym operates in a single location, you can leave this blank or select your main gym floor.

  6. Define Class Duration

    Choose the length of the class (e.g., 30 minutes, 45 minutes, 60 minutes).

  7. Enter an optional description of the Appointment type

  8. Additional Settings

    You can override the general settings for cancellation windows, fees, and credit deducrtions. For example, if this is a Foundations course where you want to apply fees for late cancels and no shows, but still have the athlete use all of their available credits, you can ensure the credit deduction toggles are both turned off.

  9. Review and Save

It is important to note that if Additional Settings are updated on the Event level, the system cannot retroactively update sessions of that Event already booked on the calendar. You will need to edit the previously booked sessions to capture these changes.
