Use the Count Available Days Only Setting in GLM

Authors list

Your calendar's Date Range setting controls how many days ahead leads can book an appointment. The Count available days only toggle changes how that window is counted, so it reflects the days you're actually open instead of every day on the calendar. It's built for gyms that are closed on weekends or that run on a non-standard schedule, such as Monday/Wednesday/Friday hours.

What you can do with Count available days only

  • Set your booking window to count only the days your gym is actually open

  • Prevent your booking calendar from looking empty on the days leading into a closure

  • Apply the setting to any calendar in your Gym Lead Machine account

  • Keep your booking window working correctly alongside your minimum scheduling notice

How does Count available days only work?

When you turn on Count available days only, the system skips days outside your availability schedule when it counts your Date Range. Without the toggle, a 2-day range counts every calendar day, weekends and closures included. That's why a gym closed on weekends with a 2-day range can show an empty calendar to a lead visiting on a Friday: Saturday and Sunday count toward the 2 days, but neither one is bookable.

With the toggle on, the window extends past closed days instead of stopping at them. In that same example, a lead visiting on a Friday would see the next 2 days you're actually open, such as Monday and Tuesday.

NOTE: This setting only changes how days are counted. It does not change your availability schedule. Set your working days and hours first, since Count available days only relies on that schedule to know which days to skip.

How does this interact with minimum scheduling notice?

When Count available days only is on, your Date Range starts counting from the first available day after your minimum scheduling notice period ends. This means leads always see the full number of days you configured for your booking window, even when your notice period pushes the start of that window forward.

For example, if your minimum notice is 1 day and your Date Range is 3 days, the count begins the day after notice clears and then counts forward through 3 days you're actually open, skipping any closed days in between.

How do I turn on Count available days only?

  1. Go to Calendars, then Calendar Settings, and open the calendar you want to update (pencil icon)

  2. Click on Booking Rules, then find the Date range setting.

  3. Turn on Count available days only, directly below the Date Range setting.

  4. Click Save changes.

Frequently asked questions

Why does my booking calendar sometimes look empty even though I have availability?

This usually happens when your Date Range is counting closed days as part of the window. If your gym is closed on weekends and your range is short, a lead visiting near the end of the week can run out of countable days before reaching a day you're actually open. Turning on Count available days only fixes this by counting only the days on your availability schedule.

Does Count available days only work with any staff schedule, or only standard Monday through Friday hours?

It works with any schedule you've set up, including non-standard weeks like Monday/Wednesday/Friday or Tuesday/Thursday. The setting counts against whatever availability schedule is already configured for the calendar, so it adjusts automatically to however your gym is set up to work.

Will this change how many days leads can book, or just how those days are counted?

Just how they're counted. Your Date Range still controls the number of days in your booking window. Count available days only changes which days count toward that number, so closed days no longer eat into the window.

Helpful tips

  • Set your availability schedule before turning on Count available days only, since the toggle depends on that schedule to know which days to skip.

  • Turn this on for any calendar with irregular hours, not just calendars that are closed on weekends.

  • If your booking calendar looks empty on certain days, check whether Count available days only is turned off before troubleshooting anything else.

When this feature is most helpful

  • Your gym is closed on weekends or on specific weekdays

  • You run a non-standard schedule, such as Monday/Wednesday/Friday

  • Leads visiting your booking page near the end of your work week see an empty calendar

  • You use a minimum scheduling notice period and want your full booking window to still display correctly
