Tags in Gym Lead Machine (GLM) track a contact's progress through their lead or client journey. Some are applied by the system when a contact takes an action, and some you apply yourself. You can manage them on one contact, on a group of contacts at once, or across your whole account.

Tags matter beyond record keeping. Your Smart Lists, your automations, and your reporting all read from them, so a contact carrying the wrong tags ends up in the wrong lists and receives the wrong messages.


What you can do with tags

  • Track where a contact is in their lead or client journey

  • Add or remove tags on an individual contact

  • Add or remove tags for a group of contacts at once

  • Create, edit, and delete tags account-wide in Settings


Common tags in Gym Lead Machine

Some tags you will see regularly:

  • website form, fitness lead, lead

  • fitness new client, client in legacy accounts

  • fitness new member, member in 2026 accounts

  • fitness long term client (member)

  • alumni


How tags are applied

Most tags record something that already happened, but one prompts the system to act:

  • Lead tags are added when a contact completes a form and enters GLM.

  • Client and member tags are added when a contact is marked Won in Opportunities.

  • Cancelled client and member tags tell the system the contact is no longer a member, which changes how they are treated from that point on.


How do I manage tags on one contact?

  1. Go to Contacts in your Gym Lead Machine account.

  2. Search for the contact and click their name to open their contact card.

  3. Find Tags near the top of the Contact Details panel on the left. The heading shows how many tags the contact currently carries.

  4. Click the + beside the Tags heading to add one, then type and select from the list.

  5. Click the x on any tag to remove it.

Tag changes save automatically.


How do I manage tags for a group of contacts?

  1. Go to Contacts in the left menu.

  2. Narrow your list using More Filters, or select an existing Smart List. You can filter on criteria including tag, opportunity stage, and pipeline.

  3. Select every contact by clicking the checkbox beside Name.

  4. Click Select all ### contacts to make sure the whole filtered set is selected rather than just the visible page.

  5. Use Add Tag or Remove Tag to update everyone selected.


How do I manage tags across my whole account?

  1. Go to Settings in Gym Lead Machine.

  2. Scroll down and click the Tags tab.

From here you can:

  • Add a tag: click + New Tag, enter a name, and click Create

  • Edit a tag: find it, click the three dots, and select Edit to rename it

  • Delete a tag: click the trash can icon

Warning

Editing or deleting a tag in Settings changes it for every contact using it. Deleting a tag that a Smart List or automation depends on will change what that list contains and which contacts the automation reaches.


Frequently asked questions

Why is a contact missing from a Smart List they should be in?

Check their tags first. Most standard Smart Lists are defined by a single tag, so a contact who was never tagged, or whose tag was removed, will not appear in the list no matter what else is true about them.

Why do some accounts say client and others say member?

Tag naming differs by account age. Legacy accounts use client wording and 2026 accounts use member wording. Both work the same way; only the label differs.

What happens if I delete a tag I still need?

Deleting a tag in Settings removes it from every contact that had it. Anything reading from that tag, including Smart Lists and automations, changes accordingly. Rename rather than delete when you are unsure.

Can I tag people without opening each contact?

Yes. Filter your contact list or open a Smart List, select the contacts, and use Add Tag or Remove Tag. This is the faster route whenever you are updating more than two or three people.


Helpful tips

  • Tag as things happen rather than in a weekly cleanup. Everything downstream reads from tags in real time.

  • Check a contact's tags when they turn up somewhere unexpected. The tag is usually the explanation.

  • Use Select all ### contacts after filtering. Selecting the checkbox alone only catches the contacts currently on screen.

  • Keep your tag list tidy in Settings. Near-duplicate tags split your lists without anyone noticing.


When tags are most helpful

  • Recording that a lead has become a member

  • Marking a member who has requested cancellation

  • Building a Smart List for a specific group of people

  • Working out why a contact is or is not receiving a campaign

  • Cleaning up after a bulk import that arrived without tags
