GLM Mobile App Overview

The Gym Lead Machine mobile app lets you manage your gym's leads, conversations, and appointments from your phone. Whether you're responding to a new inquiry between classes, checking your pipeline before a sales meeting, or scheduling an appointment on the go, the app gives you access to the tools you use most in a mobile-friendly layout.

This article covers how the app is organized, what each part of it does, and how to make the most of it day to day.


What You Can Do with the Mobile App

  • Reply to leads and members from your phone

Top Bar

The top-right corner of the app contains icons for Notifications and Settings. Both show visual indicators when there's new activity, so you can tell at a glance whether something needs your attention.

The App Drawer

The App Drawer is how you get to every module in the app. It replaces the sidebar navigation used in earlier versions and organizes modules into four categories that reflect how your gym operates:

  • Insights & Productivity

  • Communication

  • Sales & Operations

  • Marketing & Growth

Modules are displayed in a four-column grid so you can find and open the tool you need with a single tap.

Dark Mode

Dark mode gives the app a true-black display, which is easier on your eyes in low-light environments and reduces battery drain on OLED screens. You can turn it on or off from your device's system-level display settings, and the app will follow that preference.


The Homepage

The homepage is your default landing view when you open the app. It gives you visibility into the numbers that matter most, plus quick access to the tools and actions you use daily.

Key Widgets

Four widgets at the top of the homepage show real-time information:

  • Tasks Due: your outstanding follow-ups and daily to-dos

  • Opportunity Pipeline Value: the total value of memberships currently in your pipeline

  • Unread Messages: new lead and member messages waiting for a response

  • Today's Appointments: consultations, trials, and calls scheduled for the day

These widgets are fixed and can't be customized in the current version.

Pinned Apps Widget

The Pinned Apps widget keeps your most-used modules on the homepage for one-tap access. You can:

  • Pin up to four modules of your choice

  • Remove modules you don't use

  • Reorder pinned modules by dragging the menu icon

Quick Actions Widget

The Quick Actions widget contains eight built-in shortcuts for the most common tasks. From the homepage, you can:

  • Create a new contact

  • Create a new lead

  • Schedule an appointment

  • Send a message

  • Plus four additional shortcuts


Universal Search lets you search across the app from a single search bar rather than digging through individual modules. Searches cover:

  • Conversations

  • Contacts

  • Opportunities

Your five most recent searches are saved automatically, so repeat lookups are one tap away.

To find a contact, opportunity, or message, just type a name or a word from the conversation and Gym Lead Machine will surface matching results.


Access Control

Gym Lead Machine uses role-based visibility to control what each user sees in the mobile app. Users only see the modules, data, and actions their role gives them permission to access. This means:

  • Team members see only the tools relevant to their job

  • Sensitive account data stays limited to users authorized to see it

  • The app you see may look different from what a teammate sees, depending on your respective roles

If a module or action isn't showing up in your app and you think it should be, your account admin can review your role's permissions.


Frequently Asked Questions

How do I turn on dark mode in the GLM Mobile App?

Dark mode follows your device's system setting. Change your phone's system display to dark, and the app switches automatically. Change it back to light, and the app follows.

Can I customize the widgets on the homepage?

The four Key Widgets (Tasks Due, Opportunity Pipeline Value, Unread Messages, Today's Appointments) are fixed in the current version. The Pinned Apps widget and Quick Actions widget are customizable in your choice of pinned modules and shortcuts.

How do I pin an app to the homepage?

Open the Pinned Apps widget and choose which modules to pin. You can pin up to four modules and reorder them by dragging the menu icon on each one.

Why can't I see certain features that my teammate can?

Gym Lead Machine uses role-based visibility, so users only see the modules and data their role gives them access to. If you need access to something you can't see, your account admin can review your permissions.

What can I search for using Universal Search?

Universal Search covers Conversations, Contacts, and Opportunities. You can search by name, by a word or phrase from a conversation, or by any identifying detail in a contact or opportunity record.

Does the search remember what I've looked for before?

Yes. Universal Search saves your five most recent searches, so anything you've looked up recently is one tap away.

Is the GLM Mobile App the same as the Kilo Athlete App?

No, they are two different apps. The GLM Mobile App is for gym owners and staff managing leads, conversations, and appointments. The Kilo Athlete App is for your athletes to check in, reserve classes, view packages, and manage their own account.

Where can I find the settings and notifications?

Both are in the top-right corner of the app. Notifications and Settings each have their own icon, and both show a visual indicator when there's new activity.

Where do I find modules that aren't pinned to the homepage?

Open the App Drawer. Modules are organized into four categories: Insights & Productivity, Communication, Sales & Operations, and Marketing & Growth.


Helpful Tips

  • Pin the four modules you actually use every day, not the four that seem impressive. The homepage becomes far more useful when it reflects your real workflow.

  • Use Universal Search when you can't remember exactly where a contact or conversation lives. It's usually faster than opening the module and searching within it.

  • Keep an eye on the Notifications and Settings indicators in the top bar. They only appear when there's genuinely something new.

  • If a teammate can't find a feature you're both meant to have access to, check the role permissions in Settings before assuming something's broken.

  • Turn on dark mode from your phone's system settings if you check the app late at night or in low-light environments.

  • Replying to leads immediately, even when you're not at your desk

  • Checking your pipeline before or after a sales meeting

  • Booking a follow-up appointment on the spot
