The Drop In Form is a pre-built form on the Drop In page of your Kilo website. It invites athletes from other gyms to visit and take a class, and it connects to the Drop In Campaign in Gym Lead Machine, which follows up with each visitor automatically.
What you can do with the Drop In Form
Invite athletes from other gyms to drop in for a class
Collect each visitor's contact details and home gym
Get notified by email and push notification when someone wants to drop in
Send each visitor an automated text and email about their visit
Edit the form's thank-you message and the Drop In Campaign messages
How does the Drop In Form work?
The Drop In Form lives on the Drop In page of your website. In most Kilo website designs, you reach that page from the More Info menu in the navigation bar.
The form is meant for visitors who already train at another gym, know the style of training, and want to take a class while they're in town. It asks for the visitor's first name, last name, email, and phone number, along with the name of their home gym.
What happens when someone submits the Drop In Form?
The visitor sees a thank-you message and stays on the same page, and several automated actions run in Gym Lead Machine:
The contact is added to your Gym Lead Machine database.
The contact receives the drop in tag.
You or your staff get an email and a push notification about the new drop-in request.
The contact enters the Drop In Campaign.
The Drop In Campaign typically sends one text message and one email. Both thank the visitor for reaching out and let them know someone from your gym will be in touch shortly.
Drop In Form contacts don't enter your Fitness Pipeline. Drop-ins usually belong to another gym and are visiting from out of town, so they aren't treated as leads for your core membership. You can add an opportunity for a drop-in contact yourself at any time.
Edit the thank-you message
Go to Sites in the left menu.
Select Forms in the upper menu.
Click the Drop In Form in the list.
Open the Options tab on the right.
Edit the text under Message.
Edit the Drop In Campaign
Open the campaign
Go to Automation in the Gym Lead Machine menu.
Click the Fitness Campaigns folder.
Find the Drop In campaign. You can also search for it in the search bar in the upper right corner.
Click the Drop In campaign to open it.

The campaign shows its automated messages and the wait steps that control when each message sends.
Edit a message
Click the message you want to edit.
Change the text in the box on the right side of the screen. Text messages and emails have different formatting options.
TipAdd a direct purchase link to your campaign messages so drop-ins can buy and register for their session in your gym management software before they arrive.
Change the timing and steps
Change when messages send by editing or rearranging the Wait steps. They're set to default delays chosen to help convert leads, and you can adjust them.

Add a step by clicking the plus button. You can add messages, such as Send Email or Send SMS, wait steps, or other automated actions.
Move, copy, or delete a step by clicking the circle with three dots on that step.

Frequently asked questions
Why aren't my drop-in contacts showing up in my pipeline?
Drop In Form contacts don't enter your Fitness Pipeline. Drop-ins usually train at another gym and are only visiting, so they aren't treated as membership leads. If a drop-in shows interest in joining, you can add an opportunity for them yourself.
Can drop-ins pay for their visit before they arrive?
Yes, if you add a purchase link to the Drop In Campaign. Edit the campaign's text message or email to include a direct link where drop-ins can buy and register for their session.
Will I be notified when someone fills out the Drop In Form?
Yes. You or your staff get an email and a push notification for each submission.
What information does the Drop In Form collect?
First name, last name, email, phone number, and the name of the visitor's home gym. All of the contact fields are required.
