A Tour of 'Automation' in GLM
This guide acts as a 'key' for the folders you'll see when you navigate to the 'Automation' section of your Gym Lead Machine Account.
The following folders are based on a standard GLM account with a Fitness Pipeline only. If you have other pipelines (for example, Nutrition Pipeline, Kids Program Pipeline), you will see additional folders.
Terminology
Automation: An umbrella term covering all types of workflow, trigger and automated messaging within your Gym Lead Machine Account.
Workflow: A sequence of actions (a 'journey') that a contact can travel through. This might contain system actions (such as the adding or removing of a tag), internal action (such as notifications for the staff), contact-facing actions (such as Email and SMS to your client).
Campaign: Marketing actions, such as Emails and SMS to your client. sometimes within a workflows (eg, the 'New Lead Campaign').
The Folders
Here's a quick guide to your folders:
Fitness Calendar Triggers
This folder contains the various workflows (including appointment reminders) that relate to Calendar where new leads book. Typically this is the 'Free Intro' / Consultation calendar.
Fitness Campaigns
This folder contains workflows that feature marketing actions designed to nurture your leads and members.
*This folder is where you should focus your attention! We recommend tweaking the language in these workflows to suit ‘your voice’.*
Fitness Pipeline Triggers
These workflows relate to changes in the Fitness Pipeline. For example, moving a lead to 'Won' or Lost'. They are pivotal to the system's function, and trigger the adding to and removal from other workflows.
Form Triggers
These workflows are the first step in a new contact's journey: when they fill in a form. Each workflow contains notification actions, and 'signposts' the contact to the relevant campaigns.
General Appointment Calendar Triggers
This folder contains workflows (including appointment reminders) relating to your member calendar - typically named the Athlete Check In / Goal Review calendar.
New Lead Task Creation
These workflows assign new leads to the relevant user, and assign tasks accordingly to prompt manual follow-up.
Fitness Campaigns
This folder is where you should focus your attention. We recommend tweaking the language in these workflows to suit ‘your voice’, and reflect your business' offering.
Please note: these will be listed in alphabetical order in your account, but have been grouped by contact type for ease of navigation below.
For Leads:
Drop In Campaign
A short, two-message campaign, designed to start a conversation with potential drop-ins asking when they plan to visit.
Fitness Pipeline - New Lead
A 30-day email and SMS campaign written for leads, encouraging them to take the next step and book an appointment at the gym.
Pricing
A 7-message new lead campaign spanning over 9 says specifically written to address pricing requests.
Lead Magnet
A 4-email campaign spanning over 5 days, delivering the free Lead Magnet advertized on your Website homepage.
Fitness Pipeline - Long Term Lead Nurture
A 10-email sequence spanning across 257 days, designed to follow-on from the New Lead campaign, continuing to nurture leads after the initial 30 days.
For Members (current clients):
Fitness Pipeline - New Member
A 31-message nurture sequence covering the first 100 days of your member journey.
Fitness Pipeline - Long Term Member Nurture
22 messages, following on from the New member campaign, nurturing the client all the way through their first year at your gym.
For Alumni (former members):
Fitness Pipeline - Cancelled - Reactivation
17 nurture message tailored to former members, written to 'keep the door open' and re-engage spanning across 365 days.
The remaining workflows will not be connected to anything when you first join Kilo, and are optional. Reach out to the Kilo Team for tips and support on using these workflows!
Returning Clients Workflows
A special version of the New Member campaign adjusted to suit returning members.
