Tip of the Week #66-How to Automatically Send Birthday Wishes to Your Contacts

Staying connected with your leads and clients on their special day is a great way to build loyalty—and with Gym Lead Machine, it’s super easy to automate!

In this quick guide, I’ll show you how to set up a workflow that automatically sends a birthday text. It’s a small gesture that can make a big impact.

🎯 Step 1: Create a Birthday Workflow

  1. Go to the “Automation” section of your GLM account.
  2. Click “Create Workflow.”
  3. Choose “Start from Scratch.”

🧠 Step 2: Add the Birthday Trigger

For the trigger, search for and select “Birthday Reminder.”

🔄 This trigger checks your contacts’ Date of Birth fields every day at 8:00 AM. If today matches a contact’s birthday, the workflow kicks in!

⏳ Step 3: Add a Delay (Optional but Smart)

To make it feel more personal and less automated:

  1. Add a “Wait” step for about 23 minutes.
  2. This short delay makes it feel more natural—like a real message, not a bot.

📱 Step 4: Send the Birthday Text

  1. Add a Send SMS action.
  2. Use a simple message like:
Happy Birthday! 🎉 Hope you have an amazing day!

Once you're happy with the setup, click Publish and Save your workflow.

👤 Step 5: Collect Date of Birth Info

The workflow only works if your contact has a Date of Birth in their profile. Here’s how to make sure that info is there:

Option A: Add DOB Manually

You can go into a contact’s profile and fill out the Date of Birth field directly. It’s located just below the phone number.

Option B: Let Contacts Do It Themselves

Here’s the easier (and smarter) way:

  1. Go to Sites > Forms, then click “Create Form.”

    Add the following fields:

    • Name
    • Email
    • Date of Birth
  2. Keep the form simple so people are more likely to fill it out.
  3. Save the form and copy the link.
  4. Send that link via SMS or email asking your contacts to update their birthday info.

Now your gym's leads and members will get a thoughtful birthday text from you—automatically.
