What to Do Before Canceling Your Current Gym Management System

Before canceling your current gym management system, take some time to review what data you may want to export and save—either for reference outside of Kilo (e.g., a spreadsheet or Google Drive) or for importing into Kilo where possible.

Data to Consider Exporting

Former Member Information

Kilo only imports active members. If you want to keep records of past members for potential re-engagement or historical reference, export that data before canceling your current system.

Old Contracts and Waivers

Your current system may store signed contracts, waivers, or liability releases. If your provider allows, download and save these documents so you have a backup.

Billing and Payment History

Some gyms prefer to keep records of past transactions, invoices, or payment disputes. Consider exporting financial data, as this information will not transfer into Kilo.

Workout Tracking & Performance Data

If your current system tracks athlete progress (e.g., PRs, assessments, workout logs), determine if you need to save or transfer this data.

Importing Historical Attendance Data

Attendance records are valuable for tracking athlete engagement and progress. While Kilo does not automatically import attendance history from all providers, we offer a structured way to bring this data into the system.

Import Attendance Data into Kilo

  1. Export Your Attendance Data

    Work with your current provider to export attendance records for your active members. Kilo will provide a guide of how to format your export and which fields to include.

  2. Format the Data Using Kilo’s CSV Template

    Kilo requires attendance data in a specific CSV format to ensure a smooth import. If you’re interested in transferring attendance history, your Onboarding Advisor can provide you with the necessary template and guidelines.

  3. Submit the File for Import

    Once formatted, send the completed CSV file to our team for review and import into your Kilo system.
