Tip of the Week #3 - Cleanup your Tags
Every gym is different, so adjust this process to fit what works best for you. Keeping your tags free of conflicts will help you stay organized and ensure your marketing efforts hit the mark.
Steps to Clean Up Tags
Start by creating a new workflow in Gym Lead Machine and name it “Tag Audit.”
Save this workflow for future use. You can run it monthly or quarterly to ensure your tags are in order.
Building the Workflow
Action #1: If/Else
- Create an if/else condition to check if any tags exist on a contact.
- Name the branches: “No Tags” and “Has Tags.”
- Set the condition of the "No Tags" Branch to check if the tags field is empty.
Action #2: Wait
- Add a Wait action for a wait period to HOLD the contacts for a time period allowing you time to monitor the workflow in real time.
Action #3: Internal Notifications
- Add an internal notification action for contacts with no tags.
- Configure the notification to send an email to a specific user (e.g., yourself) with a subject line like “No Tags Detected for Contact.”
- Include the contact’s email and phone number in the email body for easy identification.
Premium Action: Google Sheets 👑
Create a New Spreadsheet:
- Open Google Sheets.
- Create a new spreadsheet.
- Label your columns (e.g., Name, Email, Phone) to match the fields you want to capture.
Integrate Google Sheets with GLM:
- In GLM, navigate to the workflow where you want to add the Google Sheets action.
- Add the Google Sheets action block.
Choose Your Google Account:
- Click on the Google Sheets action block to configure it.
- Select Choose your account.
- If prompted, log in to your Google account and grant the necessary permissions.
Select Your Drive and Spreadsheet:
- After selecting your account, choose Choose your Drive.
- Navigate to and select the drive where your spreadsheet is located.
- Choose Choose your spreadsheet and select the spreadsheet you created earlier.
Configure Worksheet and Columns:
- Choose Choose your worksheet and select the appropriate sheet within your spreadsheet.
- Define the starting and ending columns for the data:
- Starting Column: Set the column letter where your data begins (e.g., A).
- Ending Column: Set the column letter where your data ends (e.g., C).
Map Contact Details to Spreadsheet Fields:
- Connect each GLM field to the corresponding spreadsheet column.
- For example:
- Name → Column A
- Email → Column B
- Phone → Column C
Save and Test Your Configuration:
- Save your workflow to apply the changes.
- Run a test to ensure data from GLM is correctly populating your Google Sheets.
Example No Tags Exist Internal Email Notification

Running the Workflow
- Go to your contacts and select all contacts.
- Add them to the “Tag Audit” workflow you just created.
- Check your wait actions and eventually email to see which contacts have no tags or conflicting tags and correct them.
