Creating Waiver & Contract Templates in Kilo
You can create and manage waiver and contract templates directly in your Kilo account. These templates allow you to automate athlete document collection and ensure each document includes personalized information for each athlete.
Follow the video and steps below to create and configure new templates.
Update Note: On August 5, 2025, the logic for Contract generation has been updated. Contracts are now generated when a package is added to an athlete, not when when the package starts.
Accessing Template Settings
- Go to the Documents dropdown menu.
- Select Template from the list.
- On the Templates page, click the + Template button in the upper right corner.
- Choose whether you’re creating a Waiver or a Contract template.
Creating a Waiver Template
Waivers are typically used to collect standard liability agreements from athletes. You can have multiple waivers in Kilo—for example:
- A General Membership Waiver for all athletes.
- An Event-Specific Waiver for something like a “Murph” event or special competition.
Steps:
Title and Description
Add a descriptive name to help you distinguish between multiple waivers (e.g., General Membership Waiver or Murph Event Waiver).
Waiver Settings
- For general waivers that all athletes must complete, toggle on:
- Automatically Generate Waiver on Athlete Creation
- Require Waiver Signature for Class Check-In and Reservations
For event or special waivers, leave these toggles off and manually assign the waiver only to specific athletes.
Personalizing the Waiver with Variables
Kilo provides variables to automatically insert athlete and gym details into each document.
Common variables include:
- Gym Name
- Athlete Name
- Athlete Address
- For general waivers that all athletes must complete, toggle on:
- When the waiver is applied to an athlete, these variables will automatically fill with that athlete’s information.
- When finished, click Save to store your waiver template.
Creating a Contract Template
Contracts allow you to collect agreements specific to membership packages or programs. For example:
- A Bootcamp Contract
- A Personal Training Contract
- Or a General Membership Contract
You can have different contracts for different package types—or none at all if you don’t require contracts.
Steps:
Title and Description
Add a clear title, such as Personal Training Contract or Bootcamp Contract.
Contract Settings
Decide whether this contract will be required for athletes assigned to certain packages:
- Toggle Require Contract to Reserve/Check In if you want athletes to sign before attending sessions.
Assign Packages
Choose which packages this contract applies to (e.g., Bootcamp, PT, or General Membership).
You can set this up here, or when creating/editing the package itself—either order works.
Include Variables for Specific Details
Contract templates can also include dynamic variables such as:
- Package Details
Package Billing Schedule
These automatically populate when an athlete is assigned to a contract, ensuring each agreement reflects accurate package terms.
- Review your contract content and click Save when finished.
Editing Existing Templates
If you ever need to make updates:
- Go back to the Templates section under Documents.
- Click the Edit (blue arrow) icon next to the waiver or contract.
- Make your changes and Save again to update the template.
