Tip of the Week #95 - GLM Form Notifications

Form Notifications allow you to receive email notifications directly from a form without needing to build or maintain a workflow notification.

This is especially useful for forms that change frequently, as your notification will always include the most up-to-date fields and responses automatically.



Why Use Form Notifications?

Previously, email notifications for form submissions were typically sent through workflows. While workflows are still the best option for automations like tagging contacts, assigning users, or sending follow-up emails, they require you to manually add custom values to the notification.

If you later update your form by adding, removing, or renaming fields, those custom values may no longer match the form. This can cause notification emails to display missing or outdated information—even though the contact submitted the correct responses.

Form Notifications automatically include every field on the current version of your form, so you never have to update notification fields after editing your form.


When Should You Use Form Notifications?

Form Notifications are ideal when you simply want to receive an email each time a specific form is submitted.

Common examples include:

  • Event registration forms
  • Feedback surveys
  • Contact Us forms
  • Forms that are updated regularly

If you also need actions such as creating opportunities, adding tags, assigning conversations, or sending follow-up campaigns, you can still use workflows alongside Form Notifications.


How to Configure Form Notifications

  1. Open the form you want to edit.
  2. Select the Notifications section.
  3. Configure the notification settings.

You'll be able to customize:

  • Subject – The subject line recipients will see.
  • Notify Email – The email address that will receive submissions.
  • Reply-To Email (Optional) – The address recipients can reply to.
  • Sender Name (Optional) – The name displayed as the sender.
  • Send Form Submission as PDF – Attach a PDF copy of the submission.
  • Auto Response – Automatically email the person who completed the form.
  1. Click Save.

Note

Saving your notification settings also saves the form automatically.


Sending Form Submissions as a PDF

By default, notification emails include the submitted responses in a clean, easy-to-read table within the email body.

If you enable Send Form Submission as PDF, the notification will also include a downloadable PDF attachment containing the complete submission.

This can be useful if you need to:

  • Archive submissions
  • Print completed forms
  • Forward responses to other team members
  • Maintain documentation outside of Gym Lead Machine

Auto Response Emails

You can optionally enable an automatic confirmation email for the person submitting the form.

This is useful for letting contacts know you've received their submission.

For example, your confirmation message might thank them for contacting you and explain what they can expect next.

You can also include their submitted responses in the email if desired.


What You'll Receive

When someone submits your form, your notification email will include:

  • Your custom sender name
  • Your custom subject line
  • A formatted table displaying every question and answer from the form
  • (Optional) A downloadable PDF attachment of the submission

Because these notifications pull directly from the form itself, they'll always reflect the latest version of your form—even if you've recently added, removed, or changed fields.

âś… Use Workflows when additional automation is required after a form is submitted.

For many businesses, combining both provides the best experience: Form Notifications ensure accurate submission details, while workflows handle follow-up actions and automation.
