Tip of the Week #88: How to Use Smart Lists & Advanced Filters in Gym Lead Machine
In this tip, we’ll walk through how to create Smart Lists using advanced filters so you can quickly organize and target your leads and members inside Gym Lead Machine.
With the latest UI update, filtering works the same way in both Contacts and Opportunities, making it easier than ever to segment your audience.
Where to Find Advanced Filters
You’ll see the Advanced Filters option in both:
- Contacts
- Opportunities (Pipelines)
The layout and functionality are nearly identical in both sections.
Filtering Your Contacts
Let’s start by building a Smart List for outreach.
Step 1: Open Advanced Filters
- Go to Contacts
- Click Advanced Filters
Step 2: Add Your First Filter
Example:
- Set Email → is not empty
Step 3: Add a Nested Filter (AND Condition)
Nested filters mean all conditions inside the group must be true.
Example:
- Email is not empty
- AND Tag = Lead
This narrows your list to only leads who have an email address.
Step 4: Add Additional Conditions
You can keep refining your list. For example:
- Add: DND (Do Not Disturb) → Disabled
This removes contacts who have unsubscribed from emails.
Understanding Nested Filters (AND vs OR)
This is key to building effective Smart Lists:
Nested Filters = AND
Everything inside the group must be true. For example:
- Has email
- AND is a lead
- AND is subscribed
Separate Filter Groups = OR
When you add a new filter group, you're saying:
- Match this group OR that group
Example: Leads OR Alumni
If you want a Smart List that includes both:
Group 1 (Leads):
- Email is not empty
- Tag = Lead
- DND Disabled
OR
Group 2 (Alumni):
- Email is not empty
- Tag = Alumni
- DND Disabled
This expands your list to include both types of contacts.
Filtering Opportunities (Pipeline View)
The same logic applies inside your Opportunities tab.
Default Filter
- Status = Open
If this changes, you can reset it to show only active opportunities.
Customize Filters
You can apply similar filters as Contacts, with options specific to:
- Pipeline stages
- Opportunity status
- Assigned users
- And more
Quick Summary
- Use nested filters (AND) to tighten your targeting
- Use "Add Filter" (OR) to expand your reach across different contact types
- Always double-check your contact count as you adjust filters
- Save your Smart Lists for quick access later
