Troubleshooting Calendar Sync Issues in Gym Lead Machine

If your calendar events aren’t syncing properly with Gym Lead Machine, don’t worry—this is usually quick to fix. These steps apply most commonly to Google Calendar, but the same process works similarly for Outlook or iCal.


Issue #1: Events Not Showing in Gym Lead Machine

If you see an event in your external calendar (like Google), but it’s not appearing inside Gym Lead Machine:

Step 1: Reset the Calendar Sync

  1. Go to Settings
  2. Click My Profile
  3. Scroll to Calendar Settings
  4. Select “Do Not Add New Events to Calendar.”
  5. Click Save

Give it a moment to process.


Step 2: Confirm Events Are Cleared

  • Navigate back to your calendar view
  • Make sure all external (grey) events are gone
  • You should only see Gym Lead Machine bookings (these appear in color, like blue)

Step 3: Reconnect Your Calendar

  1. Go back to Settings → My Profile
  2. Under Calendar Settings, reconnect your calendar
  3. Allow it to sync

Once complete, your missing events should now appear correctly.


Issue #2: Resync Didn’t Fix It

If the quick reset didn’t work, try a full reconnection:

Step 1: Remove Calendar Integration

  1. Go to Settings → My Profile
  2. Scroll to your connected calendar
  3. Click Delete Connection
  4. Confirm deletion

Step 2: Verify Events Are Removed

  • Check your calendar inside Gym Lead Machine
  • Ensure no external (grey) events remain
    • Same as step 2 from problem #1

Step 3: Reconnect Your Calendar

  • Return to Settings → My Profile
  • Connect your calendar again by clicking "Add New"
  • Walk through the setup wizard to integrate your desired calendar again

This clean reset usually resolves deeper syncing issues.


Issue #3: Gym Lead Machine Appointments Not Showing in Google Calendar

If an appointment shows inside Gym Lead Machine but not in your external calendar and your calendar is synched correctly:

  • The appointment was likely booked before your calendar was synced, or
  • Your calendar was temporarily disconnected

Here is the fix:

  1. Click on the appointment inside your Gym Lead Machine calendar

  1. Open the Activity Log

  • If you don’t see confirmation that it was added to Google, it didn’t sync

  1. Click Edit (no changes needed)

  1. Click Save

This forces the system to push the appointment back to Google.

Don’t worry—this won’t trigger automations or send duplicate notifications. It simply re-syncs the event.
