How to Handle Walk-Ins Using QR Codes in Gym Lead Machine

If you run a busy gym, you know how common it is for someone to walk in while you're in the middle of coaching or helping other members. Instead of trying to capture their details on the spot, Gym Lead Machine makes it easy to direct them to the next step—without slowing you down.

The Goal

Quickly guide walk-ins to:

  • Book a Free Intro session, or
  • Fill out a lead capture form

The easiest way to do this? A QR code at your front desk.

Step 1: Create a QR Code

  1. In Gym Lead Machine, go to Sites
  2. Click on QR Codes
  3. Select Create New QR Code
  4. Give your QR code a name (e.g., Walk-In)
  • Choose where you want the QR code to send people:
    • Your Free Intro booking page (recommended), or
    • A custom form if you prefer to follow up with them later

  • Paste your link (for most gyms, this will look like):

    yourwebsite.com/free-intro

  • Click Next

Step 3: Customize Your QR Code (Optional)

You can match the QR code to your gym’s branding:

  • Change background color
  • Adjust dot colors and shapes
  • Add your gym logo in the center
  • Pro Tip: make sure the Background is lighter and the code is darker for best results

Once you're happy with the design, click Download

Step 4: Create a Printable Sign

To make your QR code easy to use in-gym:

  1. Open a design tool like Canva
  2. Upload your downloaded QR code
  3. Place it into a template (Gym Lead Machine’s Design Library has in-gym templates you can use)
  4. Customize text or branding if needed
  5. Download and print your design

Step 5: Display It at Your Front Desk

Place your printed QR code in a visible spot—like a small stand at your front desk.

When someone walks in, you can simply say:

“Go ahead and scan this to book your free intro!”

They’ll be taken to your booking page or form (whatever you set up) where they can:

  • Schedule their visit
  • Or submit their info
